Scheduling and records in context

Connect appointments to patient history, with progress notes, configurable medical history forms and private attachments.

Registration, scheduling and patient history
Find the patient and prepare for the appointment
Quick or full registration, links to clinicians and equipment, search and filters based on profiles and available data help organize the patient list.
Plan appointments around your team
Daily, weekly and monthly scheduling accounts for organization and professional availability, holidays and appointment types. Conflicts are checked; exceptions require the applicable policy and a reason.
Follow the day’s appointment queue
Record arrival, start and completion, review open appointments and plan follow-ups. The queue organizes existing bookings. Change history and calendar export (ICS) support daily coordination.
Keep patient history within reach
The timeline brings together progress notes, observations and documents with authorship, dates, search and type filters. Editing follows the applicable authorship, time-window and permission rules.
Adapt medical history forms to your protocol
Configure sections, fields, choices, required responses, scales and calculations. Each completed form retains the structure used at that time, so later changes do not reinterpret the historical record.
Document templates and QR verification
Attachments in the patient’s context
Store photos, videos and PDFs privately, with viewing and download based on format and permissions. Deletion follows record rules; attached test files are not structured diagnostic reports.
Templates for everyday clinical work
Create versioned templates by category, with fields populated from authorized patient data. Review the content, save a draft and generate a PDF for checking.
A final version that can be verified
Finalization preserves the document. A correction creates a new version and keeps the previous one in its history. A code and QR allow document verification without opening the patient record.
Feature conditions

Photos, videos, PDFs and test files are record attachments. They do not constitute a structured diagnostic reporting system.

Follow-up with visible next steps

Scheduled contacts from Day 1 to Day 180 help organize adaptation follow-up and record outcomes. Through the web portal/PWA, patients can view available data, equipment and messages.

Follow-up priorities and outcomes
See who needs the next contact
The calendar brings together today’s contacts, overdue tasks, callbacks and patients experiencing difficulties. The team reviews the context before making an attempt and recording its outcome.
Connect the outcome to the record
Completing a contact allows clinical information to be recorded in a linked progress note. The history and next steps help another team member continue the follow-up.
Adjust the schedule when needed
Create manual contacts, reschedule callbacks, and pause or recalculate the sequence by adjusting its dates. Engagement rules can generate messages, notifications or contacts when configured and run by the operation.
Team inbox and notifications
Assign the clinic’s conversations
The team inbox organizes conversations awaiting a reply, unassigned, assigned to you, escalated and closed. Assign owners and review the patient’s history before replying.
Keep replies and internal notes distinct
The team sends replies and permitted attachments, adds internal notes and follows conversation status. Internal notes belong to the team’s workflow and are not part of the patient-visible conversation.
Review the suggestion before sending
When enabled, AI can suggest wording for a reply. The team reviews the text before sending it; this assistance is separate from CPAP metric analysis.
Choose channels with their conditions in mind
In-app notifications and audience-based campaigns are available. Push and SMS depend on permissions, consent, devices or configured providers. WhatsApp opens an external conversation with prepared text; CPAPCalm does not confirm delivery.

Feature conditions

The contact schedule is created through the standard registration workflow; delivery depends on the team. The portal requires a linked account.

Care continues beyond the clinic.

A portal where patients can view available information, check their equipment and communicate with the team through a linked account.

Metrics, goals and conversations with the clinic
Data with a source and time period
When valid data exists, the portal shows usage, adherence, AHI, leak and trends, with source, coverage and the latest reference. When data is absent, it offers guidance rather than artificial metrics.
Progress patients can follow
Points, goals, usage streaks, missions and achievements support participation. These features depend on available daily data and do not guarantee adherence or clinical outcomes.
Equipment and messages close at hand
Patients view their equipment and send text messages to the clinic through a linked account. They can view attachments sent by the team; patient attachment uploads are not part of this conversation.
Android and iOS app: coming soon

The CPAPCalm app for Android and iOS is coming soon. Patients can already access the web portal in a browser, using an account linked to their clinic, to view the features and data available to them.

Connected equipment and commercial workflows

Manage serialized equipment and accessory quantities. Leads, scheduling, commercial protocols and equipment help preserve context across commercial workflows.

From first contact to sale or rental
Track the pipeline and its sources
Record leads, interests, sources, owners and contact history. Create an appointment in the context of the opportunity. Creating the patient remains an explicit action.
Keep each quote moving
Track negotiation stages, reasons for waiting and the next contact for an existing quote. Discount requests record a reason and an approval or rejection decision, subject to permissions.
Organize items in a commercial protocol
Bring together the patient, transaction type, equipment, accessories, prices and dates. Sales and rentals are supported; lending has partial operational coverage and should be assessed during deployment.
Connect closing to operations
Converting a protocol connects the sale, stock, equipment assignment and post-sale follow-up. Direct sales use a different workflow whose operational reconciliation should be considered during deployment.
Traceability, stock movements and replenishment
Manage each type of item
Organize the product catalog and its commercial policy. Devices are tracked by serial number; masks, filters, tubing and accessories use quantities and, where applicable, batches.
Follow the equipment lifecycle
View available, reserved, sold, rented, under-maintenance and returned items. Record incoming and outgoing stock, adjustments, transfers and returns with movement history.
Support replenishment and identification
Set minimum stock levels, identify items by barcode or manual entry and review their history. Check CSV export scope, as it may include only the loaded rows.
Feature conditions

Converting a lead does not automatically create a patient. Automated post-sale follow-up, when configured, uses internal messages and depends on operational scheduling.

CPAP data with human review

We are developing support for leading CPAP devices, with system-calculated metrics and AI-assisted information organization for professional review.

From import to reviewed reports
Select the data to review
The native workflow accepts a folder or ZIP of original SD card files. A preview identifies the device and available days; uploads can resume after an interruption.
Check the source and coverage
The system parses files and calculates metrics deterministically. A professional checks the model, serial number, dates, time zone, source and coverage before publishing the data for follow-up.
Review and finalize each report
Assisted analysis can be approved, edited or rejected. Separate professional and patient reports support review, finalization and new versions for corrections. Patient access depends on the rollout of this workflow.
Distinguish the input workflows
Attaching a PDF to a record, extracting data from a PDF report and importing original card files are different capabilities. PDF extraction has its own availability conditions; confirm the appropriate workflow during the demo.
In development

From information to professional review.

  1. Original card files
  2. System-calculated metrics
  3. Professional review
  4. Audience-specific reports

Compatibility will expand in phases. Explore the supported models and features available at each stage during the demo.

One platform, different responsibilities.Explore access, organisation and implementation.

Management, clinical and operations teams work with their own views and settings, within the scope defined for the organization.

Dashboards, organizations and settings
A view for each responsibility
The organization dashboard brings together appointments, patients, contacts and available metrics; clinicians see their linked patients in context. The commercial dashboard brings together sales and quotes, without presenting demonstration targets as actual results.
Organize teams and their organizations
Register organizations, clinicians and users, assign roles and relationships, and review pending access. Authorized people can select the active organization from their account’s assigned organizations.
Configure the organization’s workflow
Appointment types and hours, commercial policies, follow-up stages, document branding and medical history forms can be configured. Audit coverage and the scope of each setting are checked during deployment.
Access by role and working context
Sign-in and account recovery
Email authentication, password recovery and Google sign-in are available when configured. A second factor depends on the policy and configuration actually enforced in the environment.
Registration with approval
Creating an identity does not grant all access. Management reviews the account, assigns its organization and role, and approves relationships. The portal account is created or linked to the patient record.
Permissions are part of deployment
Scope combines role, organization and patient. Deployment checks reading, editing and deletion actions and access controls for private data against each team’s responsibilities.
Languages and deployment support
Interface in three languages
The product supports Brazilian Portuguese, European Portuguese and English. The web portal/PWA has an update workflow; installation and caching capabilities depend on the browser and device. Language does not determine market availability.
Prepare existing data for import
There are spreadsheet import workflows for patients and aggregated treatment data. Formats, columns, destination organization and results need checking during deployment; an import is not a complete automatic migration.
Understand each assistant’s purpose
CalmIA is a separate conversational experience, subject to an approved role and configuration. It is distinct from team reply suggestions and assisted analysis of CPAP data.
